CVISION's New CovR Module Accelerates and Optimizes Filing Efficiencies for Premier Full-Service Law Firm

The filing needs of any law firm are formidable. The files generated by the 75 attorneys and 25 paralegals of Gordon, Feinblatt, Rothman, Hoffberger & Hollander, LLC, are simply immense.

Gordon, Feinblatt, Rothman, Hoffberger & Hollander, LLC, enjoys a half-century history as one of Maryland's premier full-service law offices. The Baltimore firm prides itself in having competent professionals in virtually every area of law while offering personalized attention to its clients. This business model demands the best in record keeping and filing efficiencies, according to Mark Mourges, Director of Finance for the firm.

Mourges explained, "We move massive amounts of administrative paper. Our client opening forms in accounting alone run from 4 to 10 pages for our 100 new clients per week, plus the file itself and retrieval entries. Add that to the continual updates needed in the thousands of files for existing clients-billing, client notes, legal documents, cross-referencing and filing becomes a mammoth task here.

"The learning curve to take our professionals from thinking of files as electronic images rather than pieces of paper was substantial. Yet even with the progress that electronic files brought to our office, filing was the last thing anyone wanted to do. The scanning process just didn't harmonize with the filing that still needed to be done."

Mourges determined that the firm needed a solution that could utilize the logic of cover pages. The product needed to leverage the scanning capabilities that come with electronic filing to optimize the whole filing process, start to finish. He found his solution online at CVISION's Web site.

"CVISION's CovR product was a module that could stand alone. It works as advertised, and quite well. The product is all about efficiency."

CovR (Cover Recognition Module) groups and names output files based on the information printed on scanned cover sheets. Pages coming off a scanning or digital copier device (or those converted to TIFF from electronic formats) are automatically grouped into files based on the delimiting cover page. If desired, the files can also be alphanumerically named based on cover page information.

"There are very few products I swear by," Mourges said. "Those few products allow me to do work better and with less time. CovR fits into this category. It has helped us cut down on filing hassles a thousand fold.

"CVISION has always been responsive to our needs here. They know what they're talking about. They understood our problem, and implemented the CovR solution quickly."

CVISION's Ralph Cafiero said, "CovR was created from the expressed need from our clients to simplify electronic file recognition and organization. Whether it's used as a standalone or integrated into our CVista PdfCompressor, its power to recognize and utilize cover pages accelerates document workflow substantially."
