What is PDF
Portable Document Format or PDF as it is popularly known, was founded by Adobe in 1993. Over the years, this file format has become the most convenient and easy way to share works across the globe. It can be said to be a universal format that can be used by people no matter what their computer configuration is. The PDF has many advantages among which its feasibility and readability are counted to be of prime importance. That's the reason why the use of PDF has increased a lot in the recent years.
Why Should You Compress a PDF File
Though PDF files are usually much smaller and compact than many other file formats, they can often become too big to handle. This specially occurs in case of scanned documents. Take for example the signing of contracts. Company A sends contract details to Company B which Company B needs to print, sign, scan and then mail back. While scanning the signed documents, one either forgets to change the dpi or to make it into a PDF file. But even though that is taken care of, each scanned file can take up a huge size in the PDF format. Now when there are many contract pages to be scanned, one can guess the effect. Also, in cases of organizations that maintain data (in this case Company A), it becomes very strenuous for them too to store that much of file sizes when they have many end users sending them back large sized PDF files. Thus, the PDF files needs to be compressed. This will help both the end users and the company maintain their data and documents using a small disk space.
How to Compress a PDF
It is easy to compress a PDF file and usually doesn't take more than a couple of minutes. However, the time span may vary depending on the size of the file that you are compressing. To compress a PDF, first open the file that you want to compress. When the file is open, go to top left and click on `'file'' menu. A drop down menu will appear. Click "Print" on that menu. You can also press "CTRL+P" on the keyboard alternatively. Now a drop down menu will appear. In the drop down menu, you will find an option "PDF" in the bottom left. Click on it. Another drop down will appear below it. Now click on the "compress PDF" option in this menu. A small window will immediately pop up in the screen showing the status of the compression. When the compression is complete a "save" option will appear. After clicking on it, provide a file name for your file and save it in a place where you want to store the file. You are then done with your compressing of the PDF file.
