Why Do Companies Need to Scan Paper Forms?

As a term "paper forms" is used to refer to a variety of forms ranging from semi structured invoices to structured questionnaires. These paper forms are used by several companies and even governments, to collect data from people and are considered to be a good method of data collection. However, paper forms with invaluable data often pose a problem, as people who need the data have to read through them to access it. This can lead to a lot of time being spent on manual data extraction. Here is where software packages that scan paper forms become useful. Because using such software means that the manual data extraction process can be circumvented completely.

Software that scan paper forms, do away with the manual data entry process, as they have the necessary technologies to capture data from forms. Technologies such as intelligent character recognition (ICR) play an important role in software that scan paper forms, as this technology is used to recognize handwriting. ICR is designed around a neural network that continually learns on the job, and is one the reasons why this software can provide high accuracy rates. Once forms are scanned into image formats such as TIFF; software that scan paper forms extract data from these images immediately or process them later as part of a batch. When these images are processed by software that scan paper forms, zones containing important information are located by comparing them against a template. In cases where forms have been printed with drop out ink; the OCR and ICR component of form scanning software, are presented with scanned images that only contain the data to be extracted. This makes the recognition process proceed faster. Otherwise, scanned images of forms contain lines, boxes and fine print which can confuse the data extraction process and make it slower.
