What is OCR Recognition?

Optical character recognition is one of the latest technologies used in conversion of paper documents into electronic files. Its use is inevitable in creating a paperless office environment. OCR recognition software not only converts papers into electronic files but makes them text-searchable. Text-search is an option used to find a particular keyword or phrase in OCR recognized document. The basic working of the software is very simple. The software runs OCR over the scanned document. It recognizes the text and saves it in the desired format. It can be saved in different formats such as PDF, Text, Word, etc.

OCR Recognition Software Techniques

Matrix matching and feature extraction are the two major techniques used in OCR recognition. Matrix matching employs a set of templates with which the characters in the document are matched. When the comparison is approximate, the corresponding ASCII code is generated. Feature extraction is similar to matrix matching but makes use of Artificial Intelligence. It is also called as Intelligent Character Recognition. When large numbers of files are involved, batch process is used. Batch process runs OCR on all the files simultaneously. This saves considerable amount time which would otherwise be wasted in running OCR for each and every document. Online OCR recognition techniques are also available. Installation of OCR software can be avoided when online OCR is opted. All you need to do is to upload the document, run OCR over the web and get the OCR output back. The user can choose the suitable techniques according to his/her needs.

Companies and Organizations are greatly helped by OCR. With everything becoming computerized, paper files also need to be converted to electronic, machine-readable format. This increases efficiency and help in manipulation of documents. To transfer information from paper files to soft copies on the computer, the scanner is the most sought after hardware. But a scanner results only in image files thus limiting the scope for manipulation of information in the file. This is overcome by OCR which can convert image files into text with just a click. This saves time, man power and money, helping the organization to grow.
