Why Minimize Scanned Files?

In order to store the files in electronic format for easier management and to facilitate in a paperless office, paper documents are scanned to obtain image files. These scanned files are very large in size and hence occupy a large space in memory. It is also difficult to transfer or share such large files. Hence it becomes necessary to Minimize Scanned Files. One of the major reasons for the large size of scanned files is because they are just like the photocopies of paper documents i.e. they are image files. One way to minimize scanned files is by converting them to text files with the help of OCR software. This way of converting also makes them searchable and editable. But sometimes, there is a necessity to store scanned files in image format. In such cases, setting the scanned files to low resolution can considerably minimize scanned files. The lower is the resolution; the lower is the size of the file. But with lower resolution, there is a considerable damage to the quality of the output. There are a number of advantages of minimizing scanned files. The storage space required is much lesser and such files can be easily shared and transferred.
