Format to Archive PDF Files

The standard format used to archive PDF files is PDF/A, a special type of PDF. PDF/A prevents the risk of information loss that is associated with changes in software. One problem that people face when storing data electronically is that files that are readable now may not be readable in many years, as new programs fail to recognize old fonts and formats. PDF/A allows you to save files in such a way that the information will always be retrievable as long as you have a PDF/A reader.

How to Archive PDF Files

To archive PDF files, all you have to do is save the original file in PDF/A format, that way, the file is stored in a format that is ideal for archiving and easy to retrieve. Even if you start with something other than a PDF file, the process should not be difficult. If you have a hard copy, all you have to do is scan it and convert it into PDF/A. If you are starting with any type of computer file, you can use software to convert your file into the proper format. This is very easy, and requires only a few simple clicks on your part.
